Next Board Meeting Aug 2nd, 2006

The next monthly board meeting will be on Wednesday, August 2nd, 2006 at 7 pm. Meeting will be held at 3375 Redbud Court.

Board Meeting Notes - 7/11/06

In attendance:
BOARD
Pres: Mike Clemmons, V.P.: Sandy Noce, Sec: Marlo Neustifter

NEIGHBORS
Adriane Duff, Michelle Dieckmeyer, Holly Harmeyer, Dave Collar, Andy Neustifter, & Natasha Clemmons

Information passed around:
  • Police report for past year (will be page 1 & 2 of annual meeting report
  • Sign: pictures & pricing
  • Fountain estimates
Mike:
  • Police officer maybe speaking at annual meeting (early)
  • Mailbox provider maybe attending annual meeting, Mike confirmed at end of week, will be speaking early with demo
  • it’s looking as if we can afford 1 new sign at end of year especially with recent payments by delinquent HO
  • sign would go on south entrance
  • $5514.12 in bank; dues collection time
The Board received emails regarding placing speed bumps in the neighborhood. In order to do this, we would need to get 66 homes to sign a petition. This was requested by the Westfield Public Works. We will have a petition ready for the annual meeting. In the mean time, we will check into the possibility of hiring an off duty police officer to patrol the neighborhood.

Architectural Requests:
  • Lot 8: Would like to build a screened porch. Request was approved.
  • Lot 83: 6’ privacy fence from fronts of house. Request was denied. The board felt that houses on corner lots should not have privacy fences. No other houses in the neighborhood, that are corner lots, have a privacy fence. It also appeard from the drawings that were submitted, that the fence would extend up to the front corner (NE Corner) of the garage. It was also felt that the fence would pose a visual barrier for drivers. We also saw that the rock structure that is on the SW corner of the property was 3 feet on his neighbors property. The board informed his neighbor (lot 82) of this fact.

Meeting adjourned around 8:30pm

Meeting Notes from 6/21/06

  1. I would purchase two new signs that will be displayed at the entrances informing the members of the annual meeting and the meeting place.
  2. Sarah would look into the collections status for Skinner, Simonis, Short, and Petrie. All but Simmonis were in collections last year and had judgments against them. We do not think they have been sent back through collections for the 2006 dues.
  3. Any one that has not paid dues by the end of July will be sent to the lawyers for collections.
  4. Mike will contact the Westfield Public Utilities to get the water turned on so that Custom Touch can inspect the irrigation system.
  5. Board has decided that we will use the Mail Box Doctor for our mail boxes.
    1. Mike will contact him to see if he is available to attend the annual meeting and to bring a mail box with him.
    2. We will ask the members at the annual meeting to sign up so that we can get the 30 mailboxes need so that we can qualify for the discount.
    3. We will also place this information in to the annual report.
    4. Sarah will create a sign up sheet that will be used at the annual meeting.
  6. Annual Meeting and Report
    1. Sandy will write a section that discusses what we would like to do with the neighborhood and the costs. Bob and Sandy have done extensive research into signage and fountains.
    2. Mike will contact the Police department to see if we can get crime stats for our neighborhood to be included in the report.
    3. Will also see if we can get a police officer to attend to answer members questions.
    4. Mike will contact the Mailbox doctor to see if he can attend the meeting (see above)
    5. Sarah will try and supply the end of the month statistics for June as soon as they are ready so that they can be included in the annual report.
  7. Violations
    1. Sarah will follow up with Lot 82 and the boat trailer that is perched up on a cinder block in their drive way. They have been sent one letter so far this year and they were sent numerous letters last year. If not removed immediately, they should be sent to the lawyers.
    2. Sarah will send a letter to Lot 69 about incredibly high weeds in the back yard and the lack of trimming of grass (weeds) around their trees and fence.
